The Undergraduate Career Development Office within the Leeds School of Business welcomes applications for a Career Operations Coordinator. The Undergraduate Career Development Office provides programs, services and events to support the needs of all Leeds undergraduates. This position will support the coordination and tracking of student engagement and progress in a wide range of Career Development programs in the areas of: Mentoring, Career Readiness, Employer Connections, Internships and Industry Experiences and co-curricular initiatives in the new Business Core Curriculum. This position will support the Career Development team with project management, logistics, and the collection and tracking of student data and will be responsible for planning, executing, and communicating to students regarding all Career Development related events. The events range from large office-wide events such as Career Fairs, Colab, the Sophomore Summit, and Career Treks to smaller workshops, trainings, speakers, and networking events. This position will oversee the operations, logistics, budget, and participant RSVPs for all events.
This person will be responsible for using Salesforce.com and other programs to create reports, event invitations, and follow up on student engagement and progress on key career milestones. This position will report to the Career Communication & Analytics Specialist to coordinate schedules, events, and communication to ensure consistent messaging and promote broad student engagement.

What Your Key Responsibilities Will Be
Program Coordination and Communication
Work with the Career Development Team to plan and schedule activities and programs for all Career Development initiatives.
Assist with management and upkeep of calendars for all programs in conjunction with the other offices within Undergraduate Student Affairs, including Career, Advising, Diversity, Global, Leeds Scholars programs, and the Leeds Centers.
Manage operations of the Office including the centralized email accounts, office equipment, supplies, and the development of processes to facilitate efficiency and communication.
Continually evaluate existing and new communication tools and platforms, including social media, Leeds website, CU Events Calendar, Newsletters, D2L, Mailchimp, Four Winds screens, brochures, hand-outs, Salesforce, and others.
Identify and test new ways to communicate with students, including text, mobile and web apps, and other technology.
Research new ways to improve and leverage outreach and communication efforts (social media).
Ensure messaging is timely, professional and in line with the mission of the Office and Leeds standards.
Manage Four Winds screens content, event website, D2L, outlook, intranet, Salesforce emails, and Salesforce event campaigns for Career Development.
Ensure consistent Salesforce communication to students.
Event Planning and Management
Plan and execute major events for all Career Development programs, including: workshops, orientations, kick-off events, celebrations and networking events.
Identify opportunities to leverage professional development events and resources through collaboration with other offices at Leeds, student organizations, and CU Career Services.
Provide Project Management for major events including CoLab and the Leeds Professionalism Summit, provide support for and student communication for Career Fairs in conjunction with ER team.
Manage event communication and logistics requiring collaboration with a number of Leeds and University contacts and teams.
Provide guidance to other Career Development Staff on University Policy, outside venues, and contracting, as needed.
Ensure participation in all events and programs is tracked via Salesforce to better understand student interests and engagement.
Manage and train student workers and event volunteers.
Establish and maintain collaborative working relationships with all Leeds School and University contacts, as required, to accomplish job assignments.
Create marketing materials for events that are consistent with Leeds branding standards.
Manage event costs by seeking competitive bids from vendors, as appropriate.
Follow up with contracts and invoices from vendors.
Purchase and track all materials associated with events, e.g., swipers, tables, gifts, etc.
Work with direct supervisor and program Director to develop and track all event budgets.
Student Engagement Management, Tracking, and Metrics
Manage the marketing and tracking of students attendance in all career events in Salesforce, including outreach, follow up and confirmation emails.
Coordinate with Analytics Specialist to develop and send event follow up surveys.
Share attendance and survey results with staff in order to identify and recommend areas for improvement.
Track social media and engagement tools to ensure effectiveness. Evaluate data and recommend changes, as needed.
Create and manage annual communication and events calendar with input from career team, follow up with others on implementation strategy.

What We Require
Experience planning events for 100+ people.
Basic knowledge of graphic design in programs such as Adobe Suite, Canva, Powerpoint, or Microsoft Word.
Experience managing large projects with time and budget restraints.
Experience with social media.
Proficient in Microsoft Office programs.

What We Would Like You To Have
Previous experience with Salesforce.com or an equivalant CRM system.
